All bookings are subject to availability.

A booking shall be deemed confirmed only upon receipt of the required payment and issuance of a written confirmation by Patra Travels Private Limited

Any quotation, proposal, estimate, itinerary, package cost, or promotional price is indicative and subject to change until booking confirmation.

Patra Travels Private Limited reserves the right to refuse any booking without assigning reasons.

  1. BOOKING ON BEHALF OF OTHERS

Any individual making a booking on behalf of family members, friends, employees, colleagues, delegates, guests, or other travelers represents and warrants that they are duly authorized to act on behalf of such persons.

The person making the booking shall be responsible for communicating these Terms and Conditions to all travelers and ensuring compliance.

All travelers shall be deemed bound by these Terms and Conditions.

Travelers are solely responsible for obtaining, carrying, and maintaining valid:

Patra Travels Private Limited shall not be liable for losses resulting from invalid, expired, incorrect, incomplete, or insufficient documentation.

  1. VISA DISCLAIMER

Patra Travels Private Limited only assists in documentation and application procedures.

Visa issuance, rejection, delays, approvals, or requests for additional documents are solely determined by the respective embassy, consulate, immigration authority, or government agency.

No guarantee is provided regarding visa approval.

Visa fees, government charges, embassy fees, courier fees, consultation fees, and documentation charges are generally non-refundable.

  1. MEDICAL FITNESS

Travelers are responsible for ensuring that they are medically fit to undertake travel.

Any medical condition, disability, allergy, pregnancy, health concern, or special requirement must be disclosed before booking.

Patra Travels Private Limited shall not be liable for medical emergencies, hospitalization, illness, injury, disability, or death occurring during travel except where directly caused by proven gross negligence of the Company.

  1. TRAVEL INSURANCE

Customers are strongly advised to purchase adequate travel insurance covering:

  1. VEHICLE RENTAL AND TRANSPORTATION SERVICES

Vehicles shall be allocated based on operational availability and booking requirements.

Patra Travels Private Limited reserves the right to provide a similar, equivalent, or upgraded vehicle if the originally allocated vehicle becomes unavailable due to operational reasons, maintenance, breakdown, accident, government restrictions, permit issues, force majeure events, or other circumstances beyond reasonable control.

Vehicle photographs displayed on websites, brochures, advertisements, social media platforms, quotations, and promotional materials are for illustrative purposes only. Actual vehicle model, make, color, year of manufacture, seating arrangement, features, and amenities may vary.

Customers shall ensure that the number of passengers and luggage does not exceed the legally permitted capacity of the vehicle.

Weather Conditions

Natural Calamities

Political Disturbances

Government Restrictions

Accidents

  1. DRIVER AND PASSENGER CONDUCT

Drivers are authorized to refuse transportation to any passenger who:

Uses abusive language

Engages in unlawful conduct

Threatens safety

Damages property

Violates applicable laws

Customers and passengers shall:

Maintain respectful behavior

  1. FLIGHTS, TRAINS, CRUISES AND OTHER TRANSPORTATION

Flight schedules, train schedules, cruise schedules, ferry schedules, and transportation timings are controlled by respective operators.

Schedule Changes

Route Changes

Missed Connections

Supplier Operational Failures

Denial of Boarding

Customers are advised to verify schedules directly with the respective operator prior to departure.

  1. CUSTOMER RESPONSIBILITIES

Customers shall:

Follow applicable laws

Respect local customs and regulations

Follow instructions provided by authorities, suppliers, guides, drivers, and representatives

Any loss arising from inaccurate information supplied by the customer shall remain the sole responsibility of the customer.

  1. BAGGAGE AND PERSONAL BELONGINGS

Customers are solely responsible for their baggage, documents, cash, valuables, jewelry, electronic devices, passports, tickets, and personal belongings.

Delay in delivery

Confiscation by authorities

Customers are encouraged to secure appropriate insurance coverage for valuables and personal property.

  1. UNUSED SERVICES

No refund shall be provided for any unused services after commencement of travel, including but not limited to:

Meals

Sightseeing

Transportation

Transfers

Entry Tickets

Guided Tours

Activities

Excursions

Any service voluntarily not utilized by the customer.

  1. FORCE MAJEURE

Patra Travels Private Limited shall not be liable for any delay, interruption, modification, cancellation, loss, damage, injury, expense, inconvenience, or failure to perform services arising directly or indirectly from circumstances beyond reasonable control, including but not limited to:

Floods

Cyclones

Earthquakes

Pandemics

Epidemics

Acts of God

War

Terrorism

Civil Unrest

Political Disturbances

Travel Restrictions

Lockdowns

Strikes

In such circumstances, refunds, credits, rescheduling, or alternative arrangements shall be subject to recovery from suppliers and applicable policies.

  1. INDEMNIFICATION

The customer agrees to indemnify, defend, and hold harmless Patra Travels Private Limited, its directors, shareholders, officers, employees, agents, representatives, affiliates, contractors, suppliers, and partners from and against all claims, liabilities, damages, losses, penalties, costs, and expenses, including legal fees, arising from:

Damage to Property

Injury Caused by the Customer

  1. ELECTRONIC COMMUNICATIONS CONSENT

By submitting an enquiry, booking, payment, or service request, customers expressly consent to receiving communications from Patra Travels Private Limited through:

Other Electronic Communication Channels

  1. CALL RECORDING CONSENT

  1. WEBSITE AND TECHNOLOGY DISCLAIMER

Patra Travels Private Limited does not guarantee uninterrupted operation of its website, mobile applications, payment gateways, booking systems, APIs, servers, communication channels, or digital services.

Technical interruptions, maintenance activities, cyber incidents, internet outages, third-party failures, and software issues may occur from time to time.

The Company shall not be liable for losses arising from such interruptions.
 

  1. PRIVACY AND DATA PROTECTION

The collection, storage, processing, use, disclosure, transfer, and protection of personal information by Patra Travels Private Limited shall be governed by the Company's Privacy Policy, as amended from time to time.

By using the Company's services, the customer expressly consents to the collection and processing of personal information necessary for booking fulfillment, customer support, legal compliance, fraud prevention, service improvement, and operational requirements.

Customers acknowledge that certain information may be shared with airlines, hotels, resorts, transport operators, visa facilitation agencies, insurance providers, government authorities, payment gateways, and other service providers for the purpose of delivering requested services.

  1. FRAUD PREVENTION

Patra Travels Private Limited reserves the right to verify customer identity, booking information, payment details, travel documents, and supporting records at any stage before, during, or after a booking.

The Company may refuse, suspend, cancel, or terminate any booking, transaction, account, or service if fraudulent, suspicious, unauthorized, unlawful, or misleading activity is detected or reasonably suspected.

Patra Travels Private Limited reserves the right to report suspected fraud, identity theft, cybercrime, payment fraud, document forgery, chargeback abuse, or unlawful conduct to appropriate authorities.

  1. RIGHT TO REFUSE SERVICE

Patra Travels Private Limited reserves the absolute right to refuse, suspend, cancel, restrict, or terminate any service, booking, reservation, quotation, or transaction without liability where:

Applicable laws require such action;

Safety concerns arise;

Fraud or suspected fraud is detected;

False information is provided;

Payment obligations are not fulfilled;

Customer conduct is abusive, threatening, unlawful, discriminatory, disruptive, or harmful;

The Company reasonably believes continuation of the service may expose it to legal, operational, reputational, financial, or security risks.

  1. TERMINATION

Patra Travels Private Limited may terminate any booking, service, customer relationship, website access, or account immediately and without prior notice in the event of:

Breach of these Terms and Conditions;

Fraudulent conduct;

Payment default;

Misuse of services;

Security concerns;

Violation of applicable laws;

Threats to personnel, suppliers, or property.

Termination shall not affect any rights, remedies, obligations, or liabilities accrued prior to termination.

  1. CLASS ACTION WAIVER

To the maximum extent permitted by applicable law, customers agree that any dispute, claim, or controversy against Patra Travels Private Limited shall be brought solely in an individual capacity and not as a plaintiff, claimant, participant, or member in any class action, representative action, collective action, group action, or similar proceeding.

Customers expressly waive any right to participate in any class or collective legal action against Patra Travels Private Limited

  1. DISPUTE RESOLUTION

Patra Travels Private Limited believes in resolving disputes amicably and efficiently.

In the event of any dispute, claim, complaint, or controversy arising out of or relating to the services, bookings, transactions, policies, or these Terms and Conditions, the parties shall first attempt to resolve the matter through good-faith discussions and negotiations.

Customers shall provide Patra Travels Private Limited with a reasonable opportunity to investigate and respond to any complaint before initiating formal proceedings.

  1. ARBITRATION

If a dispute cannot be resolved amicably within thirty (30) days, such dispute shall be referred to and finally resolved through arbitration in accordance with the provisions of the Arbitration and Conciliation Act, 1996 and any statutory amendments thereto.

The arbitration shall be conducted by a Sole Arbitrator appointed by Patra Travels Private Limited

The seat and venue of arbitration shall be Bhubaneswar, Odisha, India.

The arbitration proceedings shall be conducted in the English language.

The arbitral award shall be final and binding upon the parties.

  1. GOVERNING LAW

These Terms and Conditions shall be governed by, interpreted, and construed in accordance with the laws of India, irrespective of conflict of law principles.

Any matter not subject to arbitration shall be governed exclusively by Indian law.

  1. EXCLUSIVE JURISDICTION

Subject to the arbitration provisions contained herein, any legal proceedings arising out of or relating to these Terms and Conditions shall be subject exclusively to the jurisdiction of the competent courts located in Bhubaneswar, Odisha, India.

Customers irrevocably consent to the jurisdiction of such courts.

  1. NO WAIVER

Failure by Patra Travels Private Limited to enforce any provision of these Terms and Conditions shall not constitute a waiver of such provision or any other rights.

Any waiver shall be valid only if made in writing by an authorized representative of the Company.

  1. SEVERABILITY

If any provision of these Terms and Conditions is determined by a court, tribunal, or competent authority to be invalid, unlawful, unenforceable, or void, such provision shall be deemed severed from these Terms and Conditions without affecting the validity and enforceability of the remaining provisions.

The remaining provisions shall continue in full force and effect.

  1. ASSIGNMENT

Patra Travels Private Limited may assign, transfer, delegate, subcontract, or otherwise dispose of any rights, obligations, or responsibilities under these Terms and Conditions without prior notice to customers.

Customers may not assign, transfer, or delegate any rights or obligations under these Terms and Conditions without the prior written consent of Patra Travels Private Limited

  1. ENTIRE AGREEMENT

These Terms and Conditions, together with the Privacy Policy, Cancellation & Refund Policy, booking confirmations, quotations, invoices, vouchers, itineraries, supplier conditions, and any service-specific agreements, constitute the entire agreement between the customer and Patra Travels Private Limited
